Public Speaking – How to Speak at a Company Meeting

You have done something that others want to know and agree to share your knowledge by speaking at a company meeting. Unaccustomed to speaking in front of a room full of people, you will find yourself uneasy at the thought of having to do it and at the same time excited at the prospect. You are wondering how to prepare for the event. Three aspects of public speaking will be examined briefly, all of which have an application for making a speech in almost any situation.

  • Advance preparation.
  • The speech presentation.
  • How to end the speech on a positive note.

The Advance Preparation

Be asked to speak at times because you know what the intended audience wants to hear. Even if you are very knowledgeable about the general topic you are going to talk about, it is your responsibility to refine the topic, narrow its scope and research and prepare interesting and informative speeches that you can deliver within the allotted time. You don’t want attendees looking tired or falling asleep in their seats so prepare what you know will hold your audience’s attention and make sure you’re not talking over their heads.

The Presentation of Speech

The conventional wisdom of my schooling a long time ago was that when you give a public speech – stand up, speak, be quiet and sit down. That’s still good advice today. But let me expand on that thought a little.

Is it good to prepare a verbatim text of your intended comments? If it helps you organize your thoughts and calm your nerves while you prepare go ahead. Sometimes I do that myself for reasons. But unless verbal inerrancy is essential to what you have to say, the last thing you want to do is read your comments from a prepared text. You will greatly improve your presentation if you are comfortable thinking on your feet and extemporaneous with the words that come to mind while speaking. In fact, if you need to have something written in front of you to help you with your presentation and act as your safety net, create and use a short outline of mayor points you want to make and once focused on one of those points, if you have prepared properly, the details you want to present will surely follow.

How to end your speech on a positive note

To make sure you finish on time, as a last resort consult a watch. But it’s more helpful to read the audience’s behavior and body language as you make your comments if you can.

Is the audience squirming in their seats? If so, you have been talking too long. Conclude your speech as gracefully and quickly as possible. If the audience is still paying close attention to what you are saying but you know you are using up your available time, finish your comments and if the format allows, consider taking some follow-up questions from those who are interested.

The question and answer portion is short. Take two or three questions, after which express your gratitude for permission to make your speech, complement your audience for their attentiveness, thank your host or sponsoring entity for inviting you to go and sit in your chair. Anything that happens after you sit down is no longer your responsibility.
